What this means for your initiative.

Practical guidance for teams planning software, AI adoption or delivery capacity.

"Custom software" gets used as a catch-all term, but the decision to build instead of buy usually comes down to one question: does an off-the-shelf tool force your team to change how it works, or does your process genuinely need something no configurable SaaS product offers? Getting this decision wrong is expensive in both directions—building custom software you didn't need wastes budget, and forcing a unique workflow into a generic tool creates years of workaround debt.

When custom software actually makes sense

Off-the-shelf tools work well for standardised processes—accounting, basic CRM, ticketing. Custom software earns its cost when your workflow, data model or integration needs are specific enough that configuration options in existing tools run out, or when the software itself is meant to be a competitive advantage rather than a back-office utility.

What it actually costs

Cost depends far more on scope discipline than on technology choice. A focused MVP scoped around two or three core workflows is a fundamentally different (and cheaper) project than an attempt to replicate every feature of an existing internal spreadsheet system on day one. A proper discovery phase should produce a scoped estimate, not a rough guess.

How to choose a development partner

Look for a team that asks about your business outcome before recommending a stack, shows you existing architecture decisions rather than only marketing case studies, and is transparent about trade-offs. A partner who agrees with every idea you propose is a bigger risk than one who pushes back with a reason.
